Generate account statements showing all invoices, payments, and running balance
Overview
Patient statements in SehaFile provide a complete financial ledger for any patient, showing all invoices (debits) and payments (credits) in chronological order with a running balance. This is useful for patient inquiries about their account, sending statements for collection follow-up, or auditing a patient's financial history.
Generating a Patient Statement
- Navigate to Patient Statements: Go to Financial > Patient Statement from the sidebar.
- Select Patient: Search and select the patient by name, file number, or national ID.
- Set Date Range (Optional): Enter From and To dates to limit the statement to a specific period. Leave empty for the complete history.
- Generate: Click Generate Statement. The system produces the statement immediately.
Understanding the Statement
The statement contains three sections:
Patient Information
- Patient name (Arabic and English)
- File number
- Patient ID
Transaction Entries
Each entry shows:
- Date - When the transaction occurred
- Type - "invoice" (debit) or "payment" (credit)
- Description - Invoice number and service type, or payment method and linked invoice
- Debit - Amount charged (from invoices)
- Credit - Amount paid (from payments)
- Balance - Running balance after this entry
Entries are sorted chronologically (oldest to newest) to show how the balance built up over time.
Summary
- Total Invoiced - Sum of all debit entries
- Total Paid - Sum of all credit entries
- Outstanding - Total Invoiced minus Total Paid (what the patient still owes)
Tip: Voided invoices are excluded from the statement. Only invoices with status other than "void" appear, ensuring the statement reflects actual financial obligations.
Tip: Print the statement to share with the patient. It serves as an official record of their financial transactions with your clinic and can be used for insurance reimbursement claims.

Frequently Asked Questions
Does the statement include insurance-related transactions?
The statement shows invoices at their full total amount (not just the patient copay). However, it only shows payments actually made by the patient. Insurance claim payments are tracked separately in the claims module.
Can I export the statement?
You can print the statement using the browser's print function. For data export, use the Invoices and Payments CSV export features with a patient_id filter.
Why does the outstanding amount differ from the patient's profile balance?
The statement calculates outstanding from visible entries within the date range. The patient profile shows the overall outstanding_balance field which may include transactions outside your selected date range.
Can the patient view their own statement?
Yes, through the Citizen Portal. Patients with an active citizen account can log in and view their financial statement under "My Account" section.
