Doctor Credentialing

Overview

Doctor Credentialing ensures every physician on the SehaFile platform holds valid, verified medical qualifications. When a clinic adds a doctor to their staff, the doctor's credentials (medical license, specialty certification, syndicate membership) enter a verification queue. Platform admins with the doctors.verify permission review these credentials, approve or reject them, and monitor upcoming expirations. This process protects patients and maintains platform integrity.

Accessing Doctor Credentials

1. Navigate to Doctors > All Doctors from the sidebar to see a complete list of doctors across all clinics. Filter by speciality, city, credential status, or specific clinic.
2. Navigate to Doctors > Pending Credentials to view only doctors with credentials awaiting review. This is the primary work queue for credentialing.
3. Navigate to Doctors > Expiring Credentials to see credentials expiring within the next 30/60/90 days (configurable via the "days" filter).

Reviewing a Doctor's Credentials

1. Click on a doctor from the pending queue to open their credential detail panel.
2. Review submitted documents:
   • Medical Syndicate membership card (number, expiry date)
   • Specialty board certification
   • Medical degree certificate
   • Practice license from Ministry of Health
   • Any additional sub-specialty certifications
3. View doctor profile — Check the doctor's declared speciality, years of experience, and the clinic(s) they are associated with.
4. Document viewer — Click each document thumbnail to open it full-size. Verify document authenticity, expiry dates, and name consistency.

Verifying Credentials

1. Click "Verify" on the credential detail panel (green button).
2. Add verification notes — Optional but recommended. Example: "Syndicate membership #12345 verified via syndicate portal, valid until 2027-03".
3. Confirm — The credential status changes to "verified". The doctor and clinic admin are notified that verification is complete.

Rejecting Credentials

1. Click "Reject" (red button) on the credential panel.
2. Provide a reason — Mandatory. Common reasons: expired document, unreadable scan, name mismatch with profile, suspected forgery.
3. Confirm rejection — The clinic admin is notified and must re-upload corrected documents.

Suspending a Doctor

1. Navigate to the doctor's detail page (via Doctors > All Doctors > click doctor row).
2. Click "Suspend Doctor" — This is used for serious issues: practicing with expired credentials, patient complaints, or regulatory action.
3. Effect of suspension — The doctor is immediately removed from appointment availability. Existing future appointments show a warning to the clinic. The doctor cannot be assigned new patients until reinstated.

Credential Compliance Analytics

1. Navigate to Analytics > Doctors > Credential Compliance for an overview of platform-wide compliance.
2. Metrics shown: Total doctors, % verified, % pending, % expired, % expiring within 30 days.
3. Speciality Distribution — View Doctors > Speciality Distribution to see how many doctors exist in each specialty across the platform.

FAQ

How often should credentials be re-verified?

Credentials are verified once on initial upload. When a document expires, the system automatically moves the credential back to "pending" status and notifies the clinic to upload a renewed document.

Can a doctor work at multiple clinics?

Yes. A doctor can be staff at multiple clinics. Their credentials are verified once and shared across all associated clinics.

What happens to a doctor's patients if they are suspended?

Existing patient records remain accessible to the clinic. However, the suspended doctor cannot see new patients or have appointments scheduled in their name until reinstated.
