Search, view details, change status, and monitor usage for all registered clinics

Overview

The Clinics Management section provides a comprehensive view of all clinics registered on the SehaFile platform. From here you can search and filter clinics, view their detailed profiles including subscription status and usage metrics, change clinic statuses (active, suspended, trial), and monitor their operational health scores. This is one of the most frequently used sections of the platform admin panel.

Viewing the Clinics List

  1. Navigate to Clinics > All Clinics from the sidebar. The page displays a paginated table (20 clinics per page by default) sorted by registration date (newest first).
  2. Table columns — The list shows: Clinic Name (AR), City, Status (color-coded badge), Plan, Registration Date, and Staff Count.
  3. Search — Use the search bar at the top to find clinics by name, email, or city. The search is instant and filters as you type.
  4. Status filter — Use the status dropdown to filter by: All, Active, Trial, Suspended, or Pending.

Viewing Clinic Details

  1. Click on any clinic row to open the detail page. The detail view contains several tabs:
  2. Overview Tab — Shows clinic name (AR/EN), address, license number, owner contact, registration date, current plan, and health score.
  3. Subscription Tab — Displays current plan details, billing cycle, next payment due date, and subscription history.
  4. Usage Tab — Shows quota utilization: patients registered vs. limit, staff count vs. limit, monthly visits vs. limit, and storage used.
  5. Payments Tab — Lists all payment records for this clinic with status (verified, pending, rejected).
  6. Staff Tab — Shows all clinic staff members including doctors, with their roles and credential status.
  7. Branches Tab — If the clinic has multiple branches, lists them with address and patient count per branch.

Changing Clinic Status

  1. Open the clinic detail page and locate the status section in the top-right area.
  2. Click the status dropdown — Options available depend on current state:
    • Active → can be Suspended
    • Suspended → can be Activated
    • Trial → can be Activated or Suspended
  3. Suspend a clinic — Click "Suspend". A confirmation dialog appears. The clinic's staff will immediately lose access, but data is preserved.
  4. Activate a clinic — Click "Activate" to restore access. This works for both suspended clinics and those completing their trial.
Warning: Suspending a clinic immediately blocks all staff logins and API access. Patients cannot be seen and no appointments can be created. Use this only when necessary (non-payment, violations, or by court order).

Monitoring Clinic Usage

  1. Open the Usage tab on the clinic detail page.
  2. Review quota bars — Each quota shows a progress bar: green (under 70%), yellow (70-90%), red (over 90%).
  3. View usage history — Click "View Trend" to see a 30-day usage chart for any metric.
  4. Identify upgrade candidates — Clinics consistently at 80%+ utilization are flagged with an "Upgrade Recommended" badge.

Changing a Clinic's Plan

  1. Open the Subscription tab on the clinic detail page.
  2. Click "Change Plan" — A modal appears showing all available plans.
  3. Select the target plan and confirm. The change takes effect immediately, and quota limits are adjusted accordingly.
Tip: Use the Health Score on the clinic detail page to quickly assess operational health. The score (0-100) factors in: login frequency, patient registration activity, visit completion rate, and payment history.

FAQ

What happens to data when a clinic is suspended?

All data is preserved intact. Staff cannot log in or access the system, but nothing is deleted. When reactivated, everything resumes from where it was.

Can I extend a clinic's trial period?

Yes. On the clinic detail page, click "Extend Trial" and specify the number of additional days (default 14). This is logged in the audit trail.

How do I find clinics approaching their quota limits?

Navigate to Analytics > Quotas > Upgrade Candidates to see all clinics at 80%+ utilization on any quota metric.
