Subscription Plans Management

Overview

Subscription Plans define what each clinic can access on SehaFile and at what price. As a platform admin with the subscriptions.manage permission, you can create new plans, set pricing and billing cycles, define feature access and resource quotas (patients, staff, visits, storage), and control plan visibility by publishing or unpublishing them. Plans can be tiered (Starter, Professional, Enterprise) or customized for special partnerships.

Viewing Existing Plans

1. Navigate to Subscriptions > Plans from the sidebar. The page displays all plans as cards showing: name, monthly price (EGP), status (published/draft), and subscriber count.
2. Plan details — Click any plan card to view its full configuration including quotas, features, and subscriber list.
3. Plans breakdown — Navigate to Analytics > Plans Breakdown to see subscriber distribution across all plans.

Creating a New Plan

1. Click "Create Plan" button at the top of the Plans page.
2. Fill in basic details:
   • Plan Name (Arabic) — Required. Example: "الخطة المتقدمة"
   • Plan Name (English) — Optional. Example: "Advanced Plan"
   • Description — Brief description of who this plan is for
   • Monthly Price (EGP) — The subscription fee per month
   • Annual Price (EGP) — Optional discounted annual price
3. Set resource quotas:
   • Max Patients — Maximum patient records the clinic can have
   • Max Staff — Maximum staff members (doctors + admin + nurses)
   • Max Visits/Month — Monthly visit cap
   • Max Branches — Number of physical locations allowed
   • Storage (GB) — Document and image storage limit
4. Select included features — Toggle on/off features like: Appointments, Prescriptions, Lab Orders, Insurance Claims, SMS Notifications, API Access, White-label, Priority Support.
5. Save as Draft — The plan is created but not visible to clinics until published.

Updating a Plan

1. Open the plan from the Plans list.
2. Click "Edit" to modify any field: name, price, quotas, or features.
3. Save changes — Changes to existing plans take effect immediately for all subscribers.

Publishing and Unpublishing

1. Publish a plan — Click "Publish" on a draft plan to make it available for clinic subscription. Published plans appear on the pricing page and in the clinic's plan selection.
2. Unpublish a plan — Click "Unpublish" to hide a plan from new subscribers. Existing subscribers keep their current plan until they upgrade or it expires.

Deleting a Plan

1. Only draft plans with zero subscribers can be deleted. Click "Delete" on the plan card.
2. Published plans with subscribers must be unpublished first, and all subscribers must be migrated to another plan before deletion is possible.

FAQ

Can I create a custom plan for a single clinic?

Yes. Create a new plan with specific quotas, keep it unpublished (hidden from the public pricing page), and manually assign the clinic to this plan from their detail page.

What happens when a clinic exceeds its plan quotas?

The system sends warnings at 80% and 95% utilization. At 100%, the clinic cannot add new records for that resource but existing data remains accessible. The clinic is prompted to upgrade.

Can I offer a discount on annual billing?

Yes. Set the Annual Price field to a value less than 12x the monthly price. The discount percentage is automatically calculated and displayed to clinics.
