Define consultation and service fees with categories and amounts

Overview

The Fee Schedule defines all standard fees your clinic charges for consultations and services. This is the default pricing used when no insurance price list applies. A well-configured fee schedule speeds up invoicing, ensures pricing consistency, and allows staff to quickly select services during checkout without manually entering amounts.

Configuring the Fee Schedule

  1. Navigate to Settings > Fee Schedule — Click Settings in the sidebar and select the Fee Schedule tab.
  2. Add a fee entry — Click "Add Fee". Fill in:
    • Service name (Arabic) — e.g., "كشف عام"
    • Service name (English) — e.g., "General Consultation"
    • Amount (EGP) — The fee in Egyptian Pounds
    • Category — Select from: Consultation, Procedure, Lab, Imaging, Administrative, Other
  3. Organize by category — Fees are displayed grouped by category. Use drag handles to reorder within each category.
  4. Set the default consultation fee — Mark one consultation fee as "Default" by clicking the star icon. This is auto-selected when creating new appointments.
  5. Save — Changes save automatically as you add or edit entries.
Tip: Create separate fee entries for different consultation types: "First Visit", "Follow-up Visit", "Emergency Consultation". This gives you better reporting granularity in the financial reports.

Using Fees in Daily Workflow

When the receptionist creates a payment or the doctor adds services during a visit, they select from the fee schedule dropdown. The amount auto-fills, reducing typos and ensuring the correct price is charged every time. Fees can still be overridden manually if needed (e.g., for a promotional discount).

Frequently Asked Questions

Can different doctors have different consultation fees?

Yes. Each doctor profile has a consultation_fee field that overrides the clinic default. When booking with a specific doctor, their personal fee is used instead of the clinic-wide default.

How do I apply a seasonal discount?

You can temporarily edit the fee amount or create a separate "Discounted Consultation" entry. For insurance patients, the discount is handled through the insurance price list instead.

Can I deactivate a fee without deleting it?

Currently, you can delete a fee entry and it will be removed from selection dropdowns. Historical invoices that used this fee retain their original amounts.

Is there a limit to how many fees I can add?

No limit. However, keeping your fee schedule concise (under 50 entries) makes it easier for staff to find the right service quickly.
