Add insurance companies, configure contracts, and manage network partnerships

Overview

SehaFile allows you to register insurance companies your clinic contracts with and configure billing parameters for each. When a patient has insurance coverage, the system can automatically calculate copay amounts and coverage percentages based on the insurance company configuration. This streamlines the financial workflow and reduces billing errors.

Adding an Insurance Company

  1. Navigate to Settings > Insurance — Click Settings in the sidebar, then select the Insurance tab.
  2. Click "Add Insurance Company" — A form appears with the following fields:
  3. Company name — Enter name_ar (required, e.g., "بوبا للتأمين") and name_en (optional, e.g., "Bupa Insurance").
  4. Company code — A short unique identifier (e.g., "BUPA", "MEDGULF", "AXA"). Used internally for quick reference.
  5. Contact person — Name of your liaison at the insurance company.
  6. Phone & Email — Contact details for claims and inquiries.
  7. Contract dates — Set contract_start and contract_end dates. The system will warn you 30 days before expiry.
  8. Discount percentage — The standard discount your clinic offers to this insurer (e.g., 15%). Applied automatically when generating invoices for insured patients.
  9. Notes — Any additional terms, special conditions, or reference numbers.
  10. Save — Click Save. The insurance company is now available when registering patients and creating invoices.
Tip: SehaFile comes preloaded with a platform-wide list of major Egyptian insurance companies. You only need to add companies and configure your specific contract terms (discount, dates) rather than entering all details from scratch.
Warning: When a contract expires (contract_end date passes), the system will mark the company as inactive. Patients with this insurer will still retain their records but new claims will show a warning. Renew the contract to clear the warning.

Managing Active Companies

Toggle the is_active switch to temporarily suspend a partnership without deleting the company record. Inactive companies won't appear in the patient registration insurance dropdown but historical data is preserved.

Frequently Asked Questions

How do I handle multiple contract tiers with the same company?

Create separate insurance price lists (covered in the next article) for different tiers. The base company entry stores the general discount, while price lists handle service-specific pricing.

Can I import insurance companies from a spreadsheet?

Currently, insurance companies are added one at a time through the UI. If you have many to add, contact support for bulk import assistance.

What happens to patient data if I delete an insurance company?

You cannot delete an insurance company that has associated patients. You can only deactivate it. Patient records will continue to reference the company for historical accuracy.
